EMR, Inc. is seeking a full-time Administrative Assistant for our busy construction office in our Niceville, Florida location. The Administrative Assistant will provide support on various ongoing projects, and will assist the Project Administrator, Project Manager, and Quality Control Manager in processing and maintaining files for government submittals.

Specific Duties & Responsibilities

+ Greet employees & visitors

+ Answer phones

+ Manage all incoming and outgoing mail and packages

+ Perform various Accounts Payable and Accounts Receivable duties

+ Maintain files in electronic and written format

+ Assist with contract preparation

+ Prepare and publish minutes and reports

+ Maintain office supplies

+ Visit project sites and run errands as directed

Skills & Abilities

+ Ability to work well with clients and colleagues

+ Strong written and verbal communication skills

+ Detail Oriented

+ Ability to multi-task

+ Ability to work well under pressure and when faced with deadlines

+ Proficient with Microsoft Excel, Word, Outlook, and Adobe Acrobat Pro

+ Knowledge of Access, SharePoint, Primavera is a plus

+ Experience working in automated accounting systems is a plus

+ Experience with Spectrum accounting software is a plus

+ Knowledge of federal contracting preferred


+ Minimum 3 years' administrative office support experience

+ Minimum 2 years' bookkeeping or accounting experience

Education and Certifications

+ High school diploma or equivalent

+ Training in business and/or accounting courses preferred

+ Valid driver's license with a good motor vehicle record required
